Today almost every company runs on computers and a network. From email and accounting software to the point-of-sale, when any of these stop working, it is not just the technology that stands still, the whole company does and money is lost. That is exactly why professional IT support usually pays for itself quickly.

What a business really risks without support

These are not theoretical risks; they are things that happen to companies all the time:

  • Outages and downtime. When the network, server or point-of-sale is down, employees cannot work, yet wages keep running. An hour of downtime in a shop or on a production line is a direct loss of revenue and productivity.
  • Data loss. A failed drive, an accidentally deleted folder or an attack without a working backup can mean losing your accounting, contracts or customer database. Without a proper backup such data often cannot be recovered.
  • Security incidents. Ransomware encrypts company data and demands a ransom; phishing tricks people out of access and money. The most common entry point is outdated software and weak passwords without two-factor authentication.
  • GDPR non-compliance. A leak of customers’ personal data can mean not only reputational harm but also a fine from the data protection authority.

What IT management actually covers

Quality IT device management is not only about fixing things when they break. It is about ongoing care that prevents problems before they happen:

  • regular maintenance and updates of operating systems and software,
  • monitoring of servers and the computer network,
  • data backup and recovery,
  • management of user accounts and access rights,
  • incident resolution through a helpdesk, both by phone and remotely.

Reactive versus preventive support

In practice there are two approaches and they differ fundamentally:

  • Reactive support (the “I call when it breaks” model) only deals with the consequences. The problem usually shows up at the worst possible time, the fix takes longer and is often more expensive, because you are firefighting a failure that has already happened.
  • Preventive (proactive) support tries to stop a fault before it happens. Thanks to monitoring and regular maintenance, many problems are caught before they ever affect work (for example a filling-up disk, a failing fan or an unsuccessful backup).

SLA and response time

With professional support, the scope and speed of service is agreed in a service level agreement, the SLA. It clearly sets out how quickly a technician is available and will start dealing with a problem (the response time). For a business this matters, because you know in advance where you stand, instead of relying on whether someone happens to have time. For critical systems a shorter response time and availability outside normal hours can be agreed.

Monitoring: seeing the problem before the customer does

Modern support includes monitoring. Servers, the network, websites and backups are watched continuously, and at the first sign of a problem (an outage, overload, high temperature, an unreachable website) an alert is triggered. The goal is simple: to know about a problem before an angry customer calls, and often to fix it before anyone even notices.

IT outsourcing: your own IT department without the cost

For small and medium-sized businesses, employing a full-time in-house IT specialist is often not worthwhile. IT outsourcing gives you the same peace of mind. You have an experienced team taking care of your technology, but you only pay for what you actually need.

Prevention is almost always cheaper and less painful than dealing with a disaster. An outage does not just stop the computers, it stops the entire business.

Security as part of support

Modern IT support also includes cyber security. Regular updates, antivirus protection, backups and staff training significantly reduce the risk of a data breach or a ransomware attack.
